Tips on e-mailing Attachments with
Outlook and Exchange
FLCC’s
Exchange server allows the sending of attachments with e-mail messages. There
are some limitations and procedures listed below that will help you with this
task:
File sizes
The
Exchange e-mail server has an overall in and outbound single message size limit
of 100MB (includes attachments). Be aware that most external mail servers have message size limits of only 10MB (gmail, yahoo, hotmail, etc.). We have implemented the much
higher limit to enable our users to send and receive large attachments amongst
themselves, and with those other external mail recipients that have mail
services which allow large attachments. To determine the message size limit of
an external mail server that you are trying to send to, ask the person you are
trying to send to what it is before you try and send to them.
Number of attachments
Up to 256
attachments are allowed per e-mail message.
Attachment types
All
attachment types are allowed when sending to and receiving from other FLCC
Exchange users and the student e-mail system (axp.flcc.edu). When receiving e-mail messages
from recipients external to the college’s e-mail server, the following file
types which are commonly used by viruses and worms are quarantined in your
personal quarantine area on the Barracuda spam firewall: .ani, .bat, .com, .cpl, .dll, .exe, .hta, .js, .pif, .rar,
.scr, .shs, .wsh. Inbound zip files are quarantined only if they
have one of those file types within them or are password protected. Outbound zip files have no restrictions on
containing the normally prevented file types above. Click here
for information on how to access your personal quarantine area on the Barracuda
spam firewall.
Saving your attachments to your U:
drive (or elsewhere)
You may
find that leaving attachments in your inbox or other folders will take up a
great deal of room. If you need to free up space in your mailbox used by
attachments, you can save them out to your U: drive (or other drive) and then
delete the messages that had the attachments. To do this, right click on the
attachment and choose “Save As”. Select the appropriate drive from the drop
down, and click “Save.” Once you have saved the file, you can safely delete the
message and empty it from your deleted items to free up space in your mailbox.
